Dispatcher

Supervised by:

Job Summary:

Performs dispatching activities related to the Transportation Department. Maintains transportation scheduling software program. Maintains scheduling, and communication with drivers, Transportation Coordinator, and maintenance personnel. As needed reroutes buses routes and driver assignments to meet door-to-door transportation needs of PACE participants.

Qualifications and Requirements:

Experience:
  • Minimum of 1 year working with the frail or elderly.
Skills and Knowledge:
  • Driver or dispatch experience
  • Knowledge in transporting frail or elderly population with special mobility needs and safety requirements.
  • Skilled in establishing and maintaining effective working relationships with participants and family members, co-workers
  • Ability to work independently with minimum supervision.
  • Computer literate and ability to generate accurate records.
  • Ability to operate transportation scheduling program.
  • Ability to speak clearly and to articulate, details, instructions, dispatch procedures, emergency requirements, procedures and policies.
  • Ability to problem solve and prioritize duties
  • Ability to remain calm and responsive in an emergency.

The physical demands and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Work Environment:

Employee must be able to work effectively within an interdisciplinary team model, interfacing and collaborating with a wide range of clinical and social services disciplines who work together to manage the PACE participants’ care. The work setting is in an Adult Day Health Center and primary care clinic environment with moderate noise levels and controlled temperatures.

Physical Requirements:

Requires manual and finger dexterity and eye-hand coordination; the ability to use department equipment; and the ability to lift/carry up to 30 pounds using appropriate body mechanics with reasonable accommodation if needed.

Visual, Hearing and Communication Requirements:

Requires corrected vision and hearing to normal range, with or without reasonable accommodation. Ability to communicate by way of the telephone with participants, customers, vendors and staff.

Pressure Factor:

Requires working under stressful conditions. Working conditions may be noisy and crowded and fluctuating indoor temperatures. Moderate pressure to meet scheduled deadlines. Potential for exposure to verbal aggression by client, vendors, and staff.

Environmental Conditions:

May be exposed to a risk of bodily injury through contact with moving instrumentation, toxic substances, medicinal preparations, bodily fluids, communicable diseases and any other conditions common in a healthcare environment. Subject to unpleasant odors.

Duties and Responsibilities:

  • Assumes responsibility for running and maintaining Transportation scheduling program.
  • Monitors and ensures effective daily communications, both ways between the drivers, Transportation Coordinator (supervisor), and the Interdisciplinary Team (IDT) as well as Center staff via radio calls.  
  • Develops, prints and updates daily work schedules for each driver.
  • Distributes in a timely manner to the Center the following day work schedules for each driver.
  • Coordinates and schedules daily delivery of home delivered meals, Durable Medical Equipment (DME), supplies and needs from the pharmacy, and miscellaneous items as requested by IDT.
  • Maintains and updates participants’ database.
  • Assumes responsibility, as needed, for personnel and route substitution(s).
  • Meets with the center director and interdisciplinary team regularly to discuss participant schedules, bus routes, and other transportation issues.  To ensure transportation is meeting the needs of the participant and PACE program.
  • Follows all PACE Policies and Procedures and OSHA safety guidelines.
  • Maintains the confidentiality of all company procedures, results and information about participants, clients or families.
  • Participates in continuing education classes and any required staff and training meetings.  Maintains professional affiliations and any required certifications. 
  • Participates in and is supportive of Quality Improvement initiatives.
  • Performs other duties as required or requested.
