Job Summary:
Provides a variety of office support functions for the PACE program, including but not limited to: receiving visitors and telephone calls, maintaining records and preparing reports, filing, typing of a variety of materials. Maintains and updates a variety of lists to support the organization.
Qualifications and Requirements:
Education:
- High school diploma or equivalent required.
Experience:
- Prior experience in healthcare is preferred.
Skills and Knowledge:
- Knowledge of standard office practices and procedures including filing, record keeping and the use of standard office equipment such as word processor and copy reproduction equipment.
- Good telephone skills and ability to deal with difficult or stressful caller.
- Computer knowledge with ability to maintain accurate records, compile data and prepare reports.
- Good communication, writing and editing skills.
- Medical terminology is helpful but not required.
- Good organizational skills, with the ability to be flexible and demonstrate initiative.
- Ability to work with a variety of professional and support staff and establish effective relationships with co-workers.
- Ability to effectively and accurately represent the program to participants, families, outside agencies and the general public.

The physical demands and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Work Environment:
Employee must be able to work effectively within an interdisciplinary team model, interfacing and collaborating with a wide range of clinical and social services disciplines who work together to manage the PACE participants’ care. The work setting is in an Adult Day Health Center and primary care clinic environment with moderate noise levels and controlled temperatures.
Physical Requirements:
Requires manual and finger dexterity and eye-hand coordination; the ability to use department equipment; and the ability to lift/carry up to 30 pounds using appropriate body mechanics with reasonable accommodation if needed.
Visual, Hearing and Communication Requirements:
Requires corrected vision and hearing to normal range, with or without reasonable accommodation. Ability to communicate by way of the telephone with participants, customers, vendors and staff.
Pressure Factor:
Requires working under stressful conditions. Working conditions may be noisy and crowded and fluctuating indoor temperatures. Moderate pressure to meet scheduled deadlines. Potential for exposure to verbal aggression by client, vendors, and staff.
Environmental Conditions:
May be exposed to a risk of bodily injury through contact with moving instrumentation, toxic substances, medicinal preparations, bodily fluids, communicable diseases and any other conditions common in a healthcare environment. Subject to unpleasant odors.
Duties and Responsibilities:
- Functions as a receptionist; determines the nature of the in-coming telephone calls, channels all incoming calls and routes calls to appropriate departments.
- Responds to emergency calls according to established PACE organization procedures.
- Prepares a variety of periodic and special reports, which may require gathering data from several sources, compiling such data and arranging it into a proper format.
- Uses word processor to produce correspondence, reports, forms, schedules, minutes and a variety of other materials that may be requested.
- Updates telephone directory and maintains accurate listings.
- Opens and routes incoming correspondence and processes outgoing mail as required.
- Uses paging system according to PACE organization procedures.
- Provides factual information regarding agency services to participants, families, outside agencies and the general public.
- Maintains a variety of records that may require arithmetic calculations.
- With proper authorization orders and maintains administrative supplies.
- Assists in the care and maintenance of department equipment and supplies.
- Responsible for making any arrangements for telephone repair service. Maintains appropriate logs and records.
- Participates in continuing education classes and any required staff and training mmeetings.
- Follows all PACE organization Policies and Procedures and OSHA safety guidelines.
- Maintains the confidentiality of all company procedures, results, and information about participants, clients or families.
- Practices Universal precautions and follows appropriate Infection Control procedures.
- Maintains safe working environment. Follows all PACE organization Safety Policies and Procedures.
- Performs other duties as required or requested.
