Job Summary:
The position of Electronic Medical Record Application Specialist is responsible for the ongoing planning, configuration, development, implementation, maintenance, quality assurance, and end-user support and training of the Electronic Medical Record (EMR) application(s).
Position will encourage end-users to use the system fully, effectively, and completely, and provide assistance when any needs or issues arise that pertain to their use of EMR.
Qualifications and Requirements:
Education / Training / Certifications:
- RHIA, RHIT, or HIM experienced.
Experience:
- RHIA or RHIT and/or HIM experienced including recent experience implementing practice-based EMR a plus.
Skills and Knowledge:
- Experience with clinical and related professional billing documentation, clinical and related professional billing workflow and training/implementing system installations with physicians, nursing and support staff.
- Proven Client Relationship Management Skills with follow through capabilities. Excellent communication, teaching, and interpersonal skills to positively interact with physicians, administration, office staff, and co-workers.
- Strong problem solving skills. Ability to problem-solve hardware and software issues and designs forms and reports.
- Experience working in a Medical Office Setting using a practice management/billing, medical records, imaging, clinical data repository, and transcription desired. Experience with an electronic medical records and/or accounts receivable management systems a plus. Candidate should possess the ability to learn new applications quickly and be able to train others.
- Familiar with ICD and CPT coding.
- Experience with Microsoft Office (Word & Excel)
- Proven ability to work in a team fast-paced, changing team-based environment.
Physical Demands and Working Conditions:
The physical demands and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Work Environment:
Employee must be able to work effectively within an interdisciplinary team model, interfacing and collaborating with a wide range of clinical and social services disciplines who work together to manage the PACE participants’ care. The work setting is in an Adult Day Health Center and primary care clinic environment with moderate noise levels and controlled temperatures.
Physical Requirements:
Requires manual and finger dexterity and eye-hand coordination; the ability to use department equipment; and the ability to lift/carry up to 30 pounds using appropriate body mechanics with reasonable accommodation if needed.
Visual, Hearing and Communication Requirements:
Requires corrected vision and hearing to normal range, with or without reasonable accommodation. Ability to communicate by way of the telephone with participants, customers, vendors and staff.
Pressure Factor:
Requires working under stressful conditions. Working conditions may be noisy and crowded and fluctuating indoor temperatures. Moderate pressure to meet scheduled deadlines. Potential for exposure to verbal aggression by client, vendors, and staff.
Environmental Conditions:
May be exposed to a risk of bodily injury through contact with moving instrumentation, toxic substances, medicinal preparations, bodily fluids, communicable diseases and any other conditions common in a healthcare environment. Subject to unpleasant odors.
Duties and Responsibilities:
- Develop and maintain internal EMR system documentation and system-related workflow processes.
- Seek to improve current medical record keeping processes by studying practice, procedures, problems, and trends
- Periodically evaluate the organization’s compliance with the to Electronic Medical Records and related systems, and prepare recommendations. Actively review current EMR-related regulations (HIPAA, PHI, etc.) and implement new policies, forms, and/or processes as required
- Develop and present initial and ongoing training with physicians, nursing and support staff Responsible for conducting initial and on-going training of end-users on Bonaventure’s EMR features and functionality to support an expert level of performance during field demonstrations.
- Coordinate and participate in computer training and orientation activities as related to implementing EMR and related software collaborating with vendor(s)’ training and support personnel as necessary. Project plan and manage all new EMR system installations and/or system upgrades
- Maintain up-to-date knowledge of trends and advances in the field of EMR, as well as new developments in hardware and software technology. Continuously improve knowledge of EMR by reviewing reference procedures, using the application to become proficient in the use of the system. Maintain a detailed understanding and working knowledge of the current EMR system, its functions and its relationship to other information systems within the enterprise.
- Interact with all areas of Bonaventure operations personnel to assure proper integration of system functionality and requirements into the larger mission. Review and evaluate technical alternatives that could improve the assigned user effectiveness and communicating these to appropriate management. Evaluate policies and procedures related to the internal charge process flow in relation to EMR
- Participate in all aspects of systems analysis, planning, design, development, testing, and implementation of any new software or system enhancements. Participate in conference calls, impact studies (such as ROI, Patient Throughput, etc.), RFP/RFI completion, and any other clinical or financial operations driven situations which may occur, to assist Bonaventure Administration in decision making impacting or impacted by Electronic Medical Records and related systems. Participate in the preparation and monitoring of budget compliance for the EMR activities.
- Act as the primary liaison between Bonaventure and EMR Providers and other support departments’ (i.e. Information Resources) as related to EMR software/hardware and connectivity issues
- Provide on site and/or remote access to client networks to assist clients with implementation, troubleshooting and other EMR system issues.
- Coordinate processing and follow-up of requests for enhancements and changes from users or others affected by the system, efficiently escalating problems as they are encountered. Design, propose, customize, test and integrate EMR modifications and upgrades with input/assistance of the Clinical Customization Team, when required.
- Develop, coordinate and participate in provision of pro-active support to end-users resolving customer problems with diplomacy, either directly or with the Clinical Customization or administrative team’s assistance. Anticipate customer needs and manage the provision of services to all customers; continually monitor all processes and services (quality, cost effectiveness, and efficiency), working in conjunction with the finance, billing, and clinical operations teams
- Prepare and maintain design documentation, project plans, and issue lists for all EMR-related projects. Maintain documentation and tracking of change request, enhancements, and testing at each site as necessary.
- Collaborate with vendor and internal Information Resources department, as well as Administration, to develop requirement specifications for system interfaces. Actively participate in and coordinate testing of the software as it relates to scheduling, coding & charge capture – the routing of charges to all interfaces including other hospital and lab systems, and billing software.
- Initiate and/or participate in presentations and product demonstrations of the EMR application to newly recruited or potentially recruited providers, and internal and external associates as required.
- Attend conferences and seminars as requested.
- Work with billing staff to facilitate and maximize the billing process in relation to the EMR system. Assist in the evaluation of the individual clinic workflow processes related to billing and identify systematic solutions for the implementation.
- Maintain confidence and protect operations by keeping all information confidential.
- Develop and maintain and monitor system reports, audit lists, and to ensure quality and control of the data outcome.
- Contribute to the team effort by accomplishing all related tasks and other duties as required or assigned.
