Office Manager

Job Summary:

Under the direct supervision of the Executive Director, the Office Manager is responsible for managing the administrative operations of the PACE department within our organization, which includes home health, hospice, and PACE services. This position is essential for ensuring operational efficiency, compliance with regulatory standards, and providing top-level support to both staff and participants. Proficiency in both English and Korean is required to manage communication and documentation effectively. Previous experience in nursing or medical fields, particularly those from Korea, is highly valued.

Qualifications and Requirements:

Education/Training/Certifications
  • Bachelor’s Degree in Business Administration, Health Administration, or related field required.
  • Bilingual proficiency in English and Korean is essential.
  • Nursing background or medical field experience is highly preferred.
Experience
  • Minimum of three (4) years of experience in administrative management, preferably in a healthcare setting.
  • Experience with EMR systems and proficient computer skills in document management (Microsoft Office, Adobe).
  • Prior experience in PACE, home health, or hospice environments highly preferred.
Skills and Knowledge
  • Strong organizational and leadership skills.
  • Excellent communication and interpersonal skills, capable of effectively managing interactions with staff, patients, families, and external partners in both English and Korean.
  • Comprehensive knowledge of healthcare regulations and office management systems.
  • Ability to multitask and meet deadlines.
  • Knowledge of patient admission/discharge processes and billing procedures using EMR systems.

Physical Demands and Working Conditions:

  • Work is mostly sedentary; however, some physical activities like filing are required. This may include lifting files, opening filing cabinets, and bending or standing as necessary.
  • Office setting with standard equipment and tasks. Noise level is usually quiet to moderate.
  • May require using a personal vehicle for business-related travel.

Duties and Responsibilities:

  • Oversee daily operations within the PACE office, ensuring efficient workflow and adherence to policies and regulations.
  • Manage patient-related administrative processes such as admissions, discharges, documentation, and equipment handling.
  • Supervise and coordinate insurance verification and billing processes.
  • Facilitate communication among patients, families, team members, and external partners.
  • Maintain confidential participant and staff records.
  • Assist in the development and implementation of organizational policies and procedures.
  • Perform other related duties as assigned.
Pay Range
  • Starting at $50 per hour
  • Annual salary based on experience and qualifications; negotiable.
